FAQ

Frequently asked questions

The basics about CloseFlow, AI drafts, Team Intelligence, billing, and support.

What is the First Revenue Run?

The First Revenue Run is CloseFlow’s first-session activation path: choose your seller context, add or import five contacts, identify warm opportunities, draft the first follow-up, approve and deliver it manually, schedule the next touch, and log what happened.

Does onboarding adapt to what I sell?

Yes. CloseFlow asks about seller type, product category, weekly goal, and preferred channel so it can recommend niche-friendly playbooks for wellness, beauty, real estate, services, affiliate or creator selling, and other relationship-driven workflows.

What is the 7-Day Momentum Plan?

It is a lightweight first-week habit loop: add contacts, restart quiet conversations, create decision steps, check in with customers, ask for referrals, review replies, and set next week’s action list.

How can I import contacts?

CloseFlow supports CSV, Excel, pasted lists, and mobile phone contacts. The import hub previews rows, detects common fields, holds out duplicates, and gives the seller a quality signal before saving.

Does CloseFlow connect to Google Contacts or Zapier?

The current focus is reliable CSV, Excel, pasted-list, phone-contact, and starter-template imports. Google Contacts and Zapier or webhook-style feeds are planned expansion paths after the import preview loop is stable.

What does CloseFlow actually do?

CloseFlow helps you organize contacts, see Today’s Revenue Actions, draft thoughtful follow-ups, review message wording, log outcomes, schedule next touches, and keep a relationship timeline so you always know what to do next.

Who is CloseFlow for?

CloseFlow is built for independent sellers and other relationship-driven sellers who win through timely follow-up: direct sellers, consultants, creators, real estate professionals, service providers, and small teams.

What problem does CloseFlow solve?

Most missed opportunities are not caused by a lack of interest. They happen because follow-ups are forgotten, notes are scattered, messages are hard to write, and there is no clear next touch. CloseFlow gives each relationship a simple next step.

Is CloseFlow a CRM?

CloseFlow is not a heavy enterprise CRM. It is a lightweight sales action engine for tracking contacts, reminders, drafts, outcomes, and relationship history without a complicated setup.

What are CloseFlow playbooks?

Playbooks are guided message flows for common selling moments, including cold outreach, follow-up, no-response nudges, pricing asked, objection follow-up, customer check-ins, reorders, and referrals.

How does the pipeline work?

CloseFlow keeps the pipeline simple: leads, contacted prospects, interested conversations, and customers. Each stage points to the next best playbook so you know what to do next.

What is the outcome loop?

The outcome loop connects the whole workflow: approve a draft, deliver it manually, log what happened, update the contact stage, and schedule the next touch. Those signals help CloseFlow prioritize better actions later.

What are predictive recommendations?

Predictive recommendations turn approved drafts, deliveries, replies, interest, purchases, and timing patterns into next-step suggestions. CloseFlow can highlight the contact to message first, the playbook that is performing best, and the send window or tone that looks strongest so far.

Does CloseFlow use AI for recommendation scoring?

The recommendation score is designed to be deterministic and explainable. CloseFlow can use the platform Fireworks AI layer to turn score factors into friendly coaching language, while message drafting still follows the seller’s selected AI provider flow.

What conversion analytics does CloseFlow show?

CloseFlow keeps analytics lightweight: approved drafts, delivered touches, logged outcomes, replies, interest, purchases, outcome capture rate, positive outcome rate, customer conversion rate, and playbook performance.

What is Compliance Intelligence?

Compliance Intelligence reviews drafts before approval, assigns a safety status, classifies risk categories such as income claims, health or product claims, guarantees, pressure language, and spammy outreach, then suggests safer wording when a message needs a second look.

What is the Approved Language Library?

The Approved Language Library gives sellers safer phrase patterns like results vary, no pressure, may or may not be a fit, and happy to send the simple details. It helps sellers keep the intent of the message while avoiding risky claims or pressure.

Can leaders see compliance coaching without reading private messages?

Yes. Team compliance snapshots are designed around rollups: drafts reviewed, safe drafts, rewrites suggested, high-risk drafts avoided, average score, and common risk categories. They do not expose private notes or message text by default.

What is Team Momentum?

Team Momentum is CloseFlow’s leader mode for small teams. Leaders can create a team, invite members, launch weekly follow-up sprints, share stage-based playbooks, and review privacy-safe rollups like contact counts, ready actions, completed actions, due reminders, and coaching cues.

Can team leaders read private contact notes or message drafts?

No. Team Momentum is designed around privacy-safe coaching signals by default. Leaders can see rollups and coaching cues, not private notes, message content, full contact lists, or personal reminder details unless a future member-controlled sharing option is explicitly added.

How does the AI help?

CloseFlow can draft warm, low-pressure follow-up messages based on the contact and context you provide. You can edit every draft before using it.

Does CloseFlow send messages automatically?

No. CloseFlow never auto-sends messages. It can help draft, review, copy, share, or open SMS/email, but you choose when and how to send.

What is the compliance guard?

The compliance guard is now part of Compliance Intelligence. It reviews wording, identifies risk categories, suggests safer rewrites, and surfaces approved language. It is a coaching tool, not legal advice.

Do I need my own AI API key?

No. CloseFlow includes AI access with All Access. Advanced users may be able to bring their own provider key later.

Can I import contacts?

Yes. CloseFlow supports contact creation and contact import so you can quickly build a follow-up list and start scheduling next touches.

Can I customize the information I track for each contact?

Yes. CloseFlow supports custom contact fields so you can track the details that matter to your workflow, such as lead source, product interest, status, priority, or next step.

Does CloseFlow replace my texting or email app?

No. CloseFlow helps prepare and organize follow-up. You still choose whether to copy, share, open SMS, or open email using your normal sending tools.

Are Solo, Pro, and Team plans live yet?

Not yet. CloseFlow is preparing the entitlement model and plan comparison for future Solo, Pro, and Team packaging, but the current launch offer remains All Access. Plan gates are not being used to lock existing launch users out of features.

How does the 30-day free trial work?

You can try All Access free for 30 days. After the trial, the subscription continues at US $19.99/month or CAD $24.99/month unless you cancel before the trial ends.

Can I subscribe on the web?

Yes. You can start a 30-day trial from the website using Stripe. Create your CloseFlow account in the web app or mobile app first, then use the same email address at checkout so the subscription can be linked to your account.

Can I use CloseFlow on the web?

Yes. CloseFlow is available as a web app at closeflowai.app, so you can organize contacts, draft follow-ups, and schedule next touches from a browser in addition to iOS and Android.

Can I subscribe through the App Store?

Yes. In-app subscriptions are handled through the App Store. Website subscriptions are handled through Stripe. Manage or cancel your subscription through the place where you started it.

How do I cancel?

If you subscribed through the App Store or Google Play, manage or cancel from that store account. If you subscribed on the website, use the billing portal link in CloseFlow or contact support with your account email.

What happens to my contacts?

Your contacts are used to organize follow-up, reminders, drafts, and relationship history inside CloseFlow. Review the Privacy Policy for details on how information is handled.

How do I get support?

Email support@joincloseflow.com and include the email used for your CloseFlow account, your device, the issue type, and any exact error message you are seeing.
