How CloseFlow handles account, contact, AI, billing, notification, and support data.

This policy is written for CloseFlow AI, the CloseFlow mobile app, and joincloseflow.com. We may update it when data practices, vendors, payments, AI providers, location/address features, or analytics change.
1. Scope
This Privacy Policy explains how CloseFlow collects, uses, shares, and protects information when you use the CloseFlow mobile app, the joincloseflow.com website, and related services.
CloseFlow is designed for relationship follow-up, contact organization, AI-assisted message drafting, compliance review, reminders, activity tracking, and subscription access.
By using CloseFlow, you agree to the practices described in this Privacy Policy.
2. Information we collect
Account information. We collect information you provide when creating or using an account, such as your email address, authentication identifiers, account status, subscription/access status, and support communications.
Contact and relationship information. You may add, import, or edit contact names, email addresses, phone numbers, notes, relationship details, needs, objections, scores, stages, follow-up outcomes, reminders, activity history, and other customer relationship information.
Message and AI content. When you draft or review messages, we process the message text, selected contact context, compliance review results, approval records, AI activity, and related metadata so CloseFlow can generate drafts, check risk, and save your activity history.
Reminder and notification information. We may process reminder dates, contact names, reminder notes, device push tokens, notification delivery events, and notification interaction data so reminders can be scheduled, delivered, and opened in the right app context.
Billing and subscription information. Payments are handled by third-party payment providers such as Stripe, Apple, Google, and RevenueCat. We receive subscription status, entitlement status, customer identifiers, price/product identifiers, trial status, renewal/cancellation information, and related billing metadata. We do not store full payment card numbers.
Device, usage, and technical information. We may collect app version, device platform, device identifiers used for push notification registration, log events, feature usage, API request metadata, error information, and similar operational data.
Support information. If you contact us, we collect the information you send, including your email address, screenshots, device details, issue descriptions, and any other information you choose to provide.
Location and address information. CloseFlow currently does not require background location tracking. If we add or enable field-location features, we will request permission before using precise device location. If you choose to save addresses for contacts, we may store the address information you provide or import.
3. How we use information
To provide, maintain, and improve CloseFlow.
To authenticate users, protect accounts, and maintain secure sessions.
To store and organize contacts, notes, outcomes, reminders, approvals, and activity history.
To generate AI-assisted message drafts and run compliance/risk checks.
To allow users to approve, copy, share, email, text, or otherwise manually deliver messages.
To schedule, send, and route notifications and reminders.
To manage subscriptions, trials, promo codes, entitlements, billing access, and customer support.
To troubleshoot issues, monitor reliability, prevent abuse, and secure the service.
To comply with legal, tax, accounting, and platform requirements.
4. AI-assisted features
CloseFlow uses AI providers to help draft messages, summarize context, and support compliance review. AI output is draft-only and should be reviewed by you before use.
When you use AI features, relevant message text, contact context, compliance context, and provider settings may be sent to an AI provider or processed through our backend. Do not enter sensitive personal information unless it is necessary for your own business purpose and you have permission to use it.
CloseFlow does not automatically send promotional messages on your behalf. You control whether and how a message is copied, shared, sent by SMS, sent by email, or otherwise delivered.
5. How we share information
Service providers. We share information with vendors that help us operate CloseFlow, such as cloud hosting, authentication, database, email delivery, push notification, payment, subscription management, AI, analytics, support, and security providers.
Payment and subscription providers. Stripe, Apple, Google, and RevenueCat may process billing, subscription, tax, payment, trial, renewal, and cancellation information under their own terms and privacy policies.
Legal and safety reasons. We may disclose information if required by law, legal process, government request, or to protect the rights, safety, security, and integrity of CloseFlow, our users, or others.
Business transfers. If CloseFlow is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction.
We do not sell your personal information. We do not use your contact lists or customer relationship data for third-party advertising.
6. Third-party services
CloseFlow may use third-party services including Amazon Web Services, Amazon Cognito, Amazon SES, Stripe, RevenueCat, Apple, Google, Expo, and AI providers such as Fireworks or other providers you configure.
Your use of third-party payment, subscription, app-store, or AI-provider services may also be governed by those providers’ own terms and privacy policies.
7. Data retention
We retain information for as long as needed to provide CloseFlow, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, and support legitimate business needs.
You can remove contacts, notes, and other content inside the app where those controls are available. Some records may remain in backups, logs, billing systems, or compliance records for a limited period.

8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. These include authentication controls, encrypted transport, cloud access controls, and least-privilege operational practices where appropriate.
No method of transmission or storage is completely secure. You are responsible for using a strong password, protecting your device, and limiting the information you import or enter into CloseFlow.
9. Your choices
Account. You can sign out of CloseFlow and request account deletion by contacting support.
Contacts and content. You can add, edit, delete, or import contacts and notes inside the app where those controls are available.
Notifications. You can turn off notifications in your device settings or through app settings where available.
Biometrics. If enabled, Face ID, Touch ID, fingerprint, or passcode unlock is managed through your device. CloseFlow does not receive your biometric data.
Billing. Web subscriptions are managed through Stripe. App Store and Google Play subscriptions are managed through Apple or Google subscription settings.
Marketing. If we send marketing email in the future, you may opt out using the unsubscribe method included in those messages. Transactional emails such as verification or password reset messages may still be sent.
10. Regional privacy rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding certain personal information.
To make a privacy request, email support@joincloseflow.com. We may need to verify your identity before fulfilling a request.
CloseFlow is not intended to collect highly sensitive personal information, protected health information, or regulated financial information. Do not use CloseFlow to store information you are not authorized to process.
11. Children
CloseFlow is intended for business and productivity use and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact support@joincloseflow.com.
12. International users
CloseFlow is operated from the United States. If you access CloseFlow from outside the United States, your information may be processed in the United States or other locations where our service providers operate.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the Last Updated date and may provide additional notice through the app, website, or email.
